a. Company-Initiated Profile Deletion

If your organization wishes to permanently delete its company profile from Zfour HRMS, you may initiate the request by contacting us directly or by sending an email to help@zfour.in with the subject line: “Request for Company Profile Deletion.”

Upon receiving your request, we will initiate a verification process to confirm your identity and authorization. Once verified, we will process the deletion request and remove your company profile from our active systems within 30 working days.

Please note:

  • In accordance with our data retention policy and regulatory obligations, certain essential business data may be retained securely for a minimum of 3 months, or longer if required by law or internal policies.

  • Any data retained will be stored securely and will not be used for any marketing or commercial purposes. It will only be accessed if legally required or for resolving any compliance, billing, or dispute-related matters.

b. Profile Disabling by Zfour HRMS

Zfour HRMS reserves the right to disable a company's profile in the following situations:

  • Non-payment or overdue invoices related to services rendered.

  • Voluntary discontinuation of Zfour HRMS services by the client organization.

  • Violation of terms outlined in the client agreement or applicable legal obligations.

When a company’s services are discontinued, Zfour HRMS will retain all relevant documents and data for a period of up to three (3) months or longer from the date of service termination. This retention period is in place to address:

  • Any legal, tax, or regulatory obligations

  • Historical recordkeeping

  • Potential dispute resolution 

During this time, the data will remain stored securely and accessible only to authorized personnel, and will not be usedfor any unrelated or commercial activities.
